This document describes Coaley Peak's standard monitoring methodology. Specific KPIs, measurement periods, and verification arrangements for your engagement are agreed in writing before implementation begins. KPI Categories
KPIs are agreed in writing at Phase 2 (KPI Agreement), before any implementation begins. The categories below represent the standard framework — specific metrics for each category are tailored to your engagement scope.
Operational cost reduction
Direct reduction in specific operational cost lines, measured against a pre-agreed baseline period (typically 3 months pre-deployment).
Marketing efficiency
Reduction in cost-per-acquisition, waste in spend channels, or improvement in campaign ROI — where marketing is within scope.
Automation ROI
Time saved per process multiplied by fully-loaded hourly rate of the people involved; validated against payroll or time-tracking data.
Procurement savings
Reduction in supplier contract costs or procurement overhead, measured against the same supplier invoices in the baseline period.
Compliance cost avoidance
Reduction in hours or third-party costs associated with compliance processes — where compliance is within scope.
Performance improvement
Measurable, quantified improvement in an agreed business metric (conversion rate, throughput, cycle time) — where applicable.
Baseline Establishment & Measurement
Baseline period
The 3 months immediately preceding Owlpen deployment, unless an alternative period is agreed in the KPI Agreement. Longer baseline periods may be used where seasonality is a factor.
Baseline data
Sourced from the client's own finance and operations systems — Owlpen does not adjust or interpret baseline figures. Both parties agree the baseline data in writing before deployment begins.
Post-deployment measurement
Monthly performance data is extracted from the same systems, using the same methodology, for direct comparison with the baseline.
Reconciliation
Monthly figures are reconciled against the client's own finance data. Any discrepancy is flagged immediately and resolved before a result is reported.
Verified result
The final monthly saving figure is submitted to the independent verifier. Only the verifier's confirmed figure is used for invoicing.

Monthly report
Fixed dateDelivered on a pre-agreed date each month. Contents: savings summary by category, cumulative total, variance vs target, anomalies flagged, recommended actions, verifier confirmation status.
Quarterly review
CallStrategic review of performance against targets, emerging opportunities, scope adjustments (if any). Requires written agreement if scope changes result.
Independent Verification
Read the full verification process →Every monthly saving figure is independently verified before an invoice is raised. Verification is carried out by a qualified professional independent of Coaley Peak — typically a chartered accountant, practising solicitor, or registered expert relevant to the savings category.
Coaley Peak funds the entire cost of verification. You receive a copy of the verifier's report alongside your monthly savings summary. The verifier's confirmed figure is the sole basis for invoicing.
If Targets Are Missed
View the full guarantee terms →If agreed targets are missed in any calendar month, no invoice is raised for that month. In addition, on contracts started after 24 March 2026, Coaley Peak pays up to £10,000 in total (capped per 12-month engagement period) — documented in your commercial agreement and subject to the same independent verification process.
Coaley Peak will also provide a written root-cause analysis within 10 business days, identifying the reason for the shortfall and the remediation plan.
Legal note: The £10,000 guarantee applies to contracts started after 24 March 2026. Subject to the terms of the commercial agreement. Independent verification required.
